Nova Inspections and Improvements LLC ("Nova," "we," "us," or "our") respects your privacy. This Privacy Policy explains how we collect, use, store, share, and protect information when you visit our website, schedule services, receive inspection reports, or otherwise interact with us. By using our website or services, you acknowledge this Privacy Policy. If you hire us, your signed inspection or service agreement also applies, and it controls if anything in this Policy conflicts with it.

1. INFORMATION WE COLLECT

1.1 Contact and Account Information

  • Name, phone number, email address, and mailing address

  • Property address and appointment details

  • Real estate agent, lender, or other contact information you give us

  • Messages, emails, texts, and call records

1.2 Billing Information

  • Invoices, payment status, and payment confirmations. Card numbers are processed by third-party payment processors through our scheduling and reporting platform (Spectora). Nova does not store card numbers on its own systems.

1.3 Inspection and Service Information

  • Inspection reports, notes, and observations

  • Photographs, video, drone images, and thermal (infrared) images of the property

  • Property condition data

  • Laboratory and sampling results (for example, mold and air quality) and wood-destroying organism (WDO) reports from our pest control partner

1.4 Website and Technical Information

  • IP address, browser type, device information, pages visited, and referring pages, collected through cookies and similar technologies (see Section 8)

1.5 Information From Others

  • We may receive information from real estate professionals, lenders, builders, pest control companies, laboratories, payment processors, and our scheduling and reporting platform.

2. HOW WE USE INFORMATION

  • To schedule, perform, and report on inspections and related services

  • To deliver reports and communicate with you about your appointment and findings

  • To bill and collect payment

  • For customer service, quality control, and training

  • To improve our services and website

  • To comply with law and with requests from the Arizona Board of Technical Registration or the Arizona Registrar of Contractors, and to protect our legal rights

3. OWNERSHIP OF INSPECTION REPORTS AND MEDIA; MUTUAL CONSENT

Inspection reports and the photographs, video, thermal images, notes, and data we create are owned by Nova Inspections and Improvements LLC. Reports are prepared for our client's exclusive use. Under our inspection agreements:

  • Our client may not share the report with anyone else without Nova's permission, and

  • Nova will not share the client's report or personal information with anyone else without the client's permission, except as described in Section 4.3 and Section 5. Permission may be given by email or other written message.

4. HOW WE SHARE INFORMATION

We do not sell personal information.

4.1 Service Providers

  • We share information with providers who help us operate, under their own privacy policies:

  • Our scheduling, report, and agreement platform (Spectora) and its integrated payment processors

  • Laboratories that analyze mold and air quality samples

  • Our licensed pest control partner that performs WDO inspections

  • Website hosting (Squarespace), email, cloud storage, and analytics providers

4.2 People You Authorize

With your permission, we share your report and related information with the people you choose, such as your real estate agent, attorney, lender, appraiser, insurer, builder, or contractors. You can give permission in your agreement, by email, or in writing. We may share limited scheduling and access information (not your report) with listing agents, sellers, builders, or occupants when needed to arrange access to the property.

4.3 Legal and Safety

We may disclose information when required by law, subpoena, or court order; to respond to the Arizona Board of Technical Registration or Arizona Registrar of Contractors; to our attorneys and insurers in connection with a claim; to address an immediate safety hazard; or to protect our legal rights.

4.4 Optional Third-Party Offers

Our reporting platform may offer optional services from other companies (for example, utilities, moving, security, or home maintenance). Your information is shared with them only if you choose to participate, and their privacy policies then apply. Mobile numbers and text-messaging consent are never shared under this section.

5. PHOTOS AND MARKETING

We use inspection photos, video, and thermal images for reports, recordkeeping, training, and quality control. We may also use de-identified images for education and marketing. De-identified means they show no client name, property address, faces, or financial information. To opt out, email amw@aaanova.com with the subject line "Photo Opt-Out Request."

6. DATA SECURITY AND BREACH NOTICE

We use reasonable administrative, technical, and physical safeguards, including secure portals, password-protected systems, and limited access. No system is completely secure. If a security incident affects your personal information, we will notify you as required by Arizona law and any other applicable law.

7. DATA RETENTION

We retain inspection records, reports, signed agreements, photographs, video, thermal images, laboratory results, and related information for as long as needed for business, legal, insurance, and regulatory purposes, including while any claim, complaint, regulatory inquiry, or legal hold is pending. We are not required to delete records after any particular time. You may request a copy of your report by emailing amw@aaanova.com. A fee may apply for reissued copies.

8. COOKIES, ANALYTICS, AND ADVERTISING

Our website is hosted by Squarespace and uses cookies and similar technologies to make the site work and to measure traffic (Squarespace Analytics and Google Analytics). These providers may collect your IP address, device and browser information, and pages visited. You can:

9. TEXT MESSAGES (SMS)

9.1 Service Messages

If you check the text-message consent box when you book or request an inspection, you agree to receive text messages and calls from Nova Inspections and Improvements LLC at the mobile number you provide about your inspection. These include booking confirmations, appointment reminders, scheduling updates, report-ready notices, and account or payment messages. This consent is optional and is not a condition of booking or purchasing any service. If you do not opt in, we will contact you about your inspection by email or phone call instead.

9.2 Marketing Messages (Optional)

Separately, you may choose to receive marketing texts and calls from us, such as follow-ups on quotes or unfinished bookings, special offers, and review requests. These may be sent using automated technology. Marketing consent is optional, is given only by checking a separate box, and is not a condition of booking or purchasing any service. If you do not opt in, we send only service messages.

9.3 Frequency and Charges

Message frequency varies based on your bookings and interactions with us. Message and data rates may apply according to your mobile carrier plan. Carriers are not liable for delayed or undelivered messages.

9.4 Opting Out and Help

You can opt out of text messages at any time by replying STOP (or QUIT, END, CANCEL, or UNSUBSCRIBE). You may also tell us by any other reasonable means, such as replying "stop texting me," calling 520-222-6436, or emailing amw@aaanova.com. We will send one message confirming your opt-out and will honor your request promptly and as required by law. Opting out of marketing messages does not opt you out of service messages unless you ask; if you opt out of all texts, we will contact you about your inspection by email or phone instead. 9.5 No Sharing of Mobile Information

SMS Consent & Mobile Data Privacy:

No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties or affiliates.

We do not sell, rent, or share your mobile phone number or text-messaging opt-in consent with third parties or affiliates for their marketing or promotional purposes. We share mobile numbers only with service providers that help us send messages on our behalf (such as our messaging and scheduling platforms), who may use them only to provide that service. This section 9.5 takes priority over any other part of this Privacy Policy, including section 4.4.

9.6 Consent Records

We keep records of your text-messaging consent, including the date and time, the phone number, the wording you agreed to, which options you selected, and any opt-out requests. We use these records to honor your choices and to comply with the law.

9.7 Supported Carriers

Texts are available on major U.S. carriers. Message delivery is not guaranteed.

10. YOUR PRIVACY RIGHTS

You may ask us to:

  • Correct inaccurate information

  • Delete your personal information, subject to records we must keep for legal, regulatory, insurance, or claims purposes

  • Stop marketing messages or marketing use of your inspection media

Email requests to amw@aaanova.com. We will respond within 45 days and may need to verify your identity. If you live in a state that gives you additional privacy rights, you may use the same email to exercise them, and we will not discriminate against you for doing so.

11. GEOGRAPHIC SCOPE

Our website and services are intended for people in the United States. We primarily serve clients in Arizona.

12. CHILDREN

Our website and services are intended for people 18 and older. We do not knowingly collect information from children under 13.

13. YOUR RIGHTS UNDER LAW

Nothing in this Privacy Policy limits any right you have under applicable law. Liability for inspection services is governed by your inspection or service agreement.

14. CHANGES

We may update this Policy and will revise the "Last Updated" date. Material changes will be posted on this page.
