3. Copyright & Media Ownership
All inspection reports, photos, videos, thermal images, notes, and related data created by Nova Inspections and Improvements, LLC are the exclusive intellectual property of Nova.
Clients are granted a limited, non-transferable license to use inspection reports for personal real-estate-related purposes only. Clients may not edit, alter, or misrepresent inspection reports; claim ownership of photos or media; or remove watermarks or attribution. Nova retains all copyrights and may archive, watermark, or store media for legal, training, risk-management, or administrative purposes.
4. Information Sharing
We do not sell or rent personal information. We may share limited information under the following circumstances:
4.1 Required Service Providers
Laboratories & Specialty Inspectors: Third-party laboratories (for certified indoor air quality and mold testing analysis) and state-licensed pest control providers (for certified wood-destroying insect inspections).
Scheduling, Reporting, & Secure Payment Platforms: We utilize Spectora to manage our scheduling, digital reports, and contract agreements. Nova does not directly collect, process, or store credit card numbers on our own servers. All financial transactions are safely encrypted and handled securely by integrated third-party payment gateways (such as Stripe or Square) operating through the Spectora platform.
Cloud Infrastructure: Secure cloud storage and hosting providers used strictly for database management and business operations.
All of these third-party providers operate under their own independent privacy policies.
4.2 Real Estate Professionals
At your request, or when necessary to coordinate scheduling, property access, or report delivery, we may share limited information with buyer’s or seller’s real estate agents and property sellers (when necessary for access).
4.3 Legal & Safety Requirements
Information may be disclosed if required to comply with laws, subpoenas, or court orders; respond to Arizona BTR or Arizona ROC inquiries; address immediate safety hazards; or protect Nova’s legal rights.
4.4 Third-Party Vendor Referrals & Affiliate Services
Nova may offer optional access to third-party service providers through our software platform (e.g., moving services, security systems, utilities, or home maintenance). Participation is entirely optional.
If you choose to engage with a third-party provider, your information is governed by that provider’s privacy policy. Nova may receive compensation, referral fees, or commissions from certain third-party vendors. Such compensation does not influence inspection findings, conclusions, or pricing. Nova assumes no liability for the performance of third-party services.
5. Media (Photos, Video, Thermal Images) and Marketing Use
Photos, videos, and thermal images collected during inspections may be used for report documentation, training, quality assurance, and recordkeeping. Nova may also use de-identified photos, videos, or excerpts for educational or marketing purposes. When we do, we take reasonable steps to avoid identifying the client or property. We do not intentionally publish client names, property addresses, faces, or financial identifiers.
Opt-out: You may request that your inspection media not be used for future marketing by emailing amw@aaanova.com with the subject line: Photo Opt-Out Request.
6. Data Security
We use reasonable administrative, technical, and physical safeguards to protect information, including secure online portals, password-protected systems, and limited access controls. However, no system is 100% secure, and we cannot guarantee absolute security.
7. Data Storage and Retention
Nova uses Spectora, a third-party inspection software provider, to create and deliver inspection reports. Storage, retention, and availability of data within Spectora are governed by Spectora’s systems and policies, which are outside of Nova’s control.
Nova does not intentionally delete inspection records as part of normal business operations. However, because Spectora is an independent third-party provider, we cannot guarantee the length of time records will remain available or accessible without interruption. By using our services, you acknowledge that Nova is not responsible for outages, data loss, or unavailability caused by third-party platforms beyond our reasonable control.
8. Cookies & Tracking Technologies
Our website may use cookies and similar technologies (such as Google Analytics or marketing pixels) to help the site function properly, improve performance, and understand how visitors use our website. You can control or disable cookies through your browser settings.
9. Geographic Scope
Our website and services are intended for individuals located in the United States, and we primarily serve clients in Arizona. We do not intentionally market to or target individuals outside the United States.
